College Tour Planning Checklist for Kerala Student Coordinators

Build a proposal your faculty and classmates can review: dates, travel time, room sharing, meals and the decisions to make before booking.

A NOTE BEFORE YOU START

A good plan leaves room for your people. Use this guide with your confirmed dates, group size and Kerala departure point.

Start with the college calendar

Before comparing destinations, agree on the earliest departure and latest return your institution can approve. Count the journey from your Kerala boarding point until you are back in Kerala. A sightseeing itinerary beginning at Agra or Delhi may need additional outward and return travel days. Keep examination dates, attendance requirements and the next working day in view.

Choose one student point of contact and a faculty contact. Gather an approximate headcount, the likely number of accompanying faculty and a comfortable per-person budget range. These are planning inputs rather than a commitment to book.

Prepare a short, usable brief

Share your preferred Kerala boarding city, two possible date windows, group size and two route choices. Note whether the group prefers heritage visits, mountains, a trek or a relaxed pace. Tell the planner about dietary requirements and any mobility needs privately, with the traveller’s permission.

Ask for the travel mode and class, local vehicle arrangements, hotel-night count, room-sharing basis and included meals in writing. For overnight transport, check where the group will freshen up and store luggage on arrival. A night on a train or bus is not a hotel night.

Review the timetable together

Place travel and sightseeing on the same calendar. Leave space for boarding, transfers, meals and rest. An arrival-day attraction is conditional if the train is late. Ask which stops can be shortened or replaced without losing the purpose of the trip.

For a trek, discuss walking distance, luggage arrangements, terrain and a suitable alternative for those not joining. For institutional or industrial visits, obtain the host’s confirmation; a proposed visit in an itinerary is not permission to enter.

Approve the quotation, then collect information

Check what the price assumes: minimum group size, faculty arrangements, room occupancy, taxes, entry tickets and optional activities. Ask for the payment schedule, cancellation terms and what happens if the headcount changes. Compare proposals on the same basis rather than only their headline total.

After the college approves the plan, the coordinator can collect the passenger information needed for booking through the agreed private channel. Share a final departure briefing with reporting time, meeting point, luggage guidance, emergency contacts and the confirmed itinerary.
